In the WordPress backend, you can check what was ordered, what the order status is, what payment and shipping information is available, and which customer data belongs to the order.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">You can find the central order overview at:<\/p>\n\n\n\n<pre class=\"wp-block-code\"><code>WooCommerce\n\u2192 Orders\n<\/code><\/pre>\n\n\n\n<p class=\"wp-block-paragraph\">In this article, we show you how to find, open, and correctly read orders. We also explain what you should pay attention to regarding payment, shipping, and order status.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">We explain how an order is created from the shopping cart to checkout in the article <a href=\"\/en\/help\/cms-online-shops\/woocommerce\/cart-checkout\/\">Understanding Cart and Checkout in WooCommerce<\/a>.<\/p>\n\n\n\n<blockquote class=\"wp-block-quote is-layout-flow wp-block-quote-is-layout-flow\">\n<p class=\"wp-block-paragraph\"><strong>Important:<\/strong> An order in WooCommerce does not automatically mean that it has been paid for or can be shipped yet. Always check the order status and payment information.<\/p>\n<\/blockquote>\n\n\n\n<h2 class=\"wp-block-heading\">Where can I find the orders?<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Open in the WordPress backend:<\/p>\n\n\n\n<pre class=\"wp-block-code\"><code>WooCommerce\n\u2192 Orders\n<\/code><\/pre>\n\n\n\n<p class=\"wp-block-paragraph\">There WooCommerce displays the existing orders in an overview.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Depending on the view and activated columns, you will see the following for an order, among other things:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Order number and customer<\/li>\n\n\n\n<li>Order date<\/li>\n\n\n\n<li>current order status<\/li>\n\n\n\n<li>Order total<\/li>\n\n\n\n<li>additional information if corresponding columns or extensions are enabled<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">Additional plugins can add more information and columns to this overview. Therefore, your order overview may look slightly different than in a screenshot or in another WooCommerce installation.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">What does the order number mean?<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Each order has an order number that you can use to easily retrieve it.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">For example:<\/p>\n\n\n\n<pre class=\"wp-block-code\"><code>Order #1847\n<\/code><\/pre>\n\n\n\n<p class=\"wp-block-paragraph\">This number helps you, for example, with customer inquiries, internal searching, and order allocation.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Extensions can change the appearance or numbering of orders. Therefore, the order number does not have to follow the same scheme in every WooCommerce store.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Search and filter orders<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">In a small shop with few orders, you can usually find an order immediately. As the number of orders increases, the search and filter functions become more important.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">In the order overview, you can filter orders by their status, among other things.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">For example, you can specifically display orders that still need to be processed.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The search function helps you find a specific order again.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Depending on the WooCommerce version and the order storage used, additional search and filter options are available.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Practical Tip:<\/strong> When a customer has a question about an order, the order number is usually the easiest information to quickly find the correct order.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">View an order quickly<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">WooCommerce offers a preview function in the order overview. Using the corresponding icon, you can view important information of an order without opening the complete order.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">For example, the preview can show:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Order number<\/li>\n\n\n\n<li>Status<\/li>\n\n\n\n<li>Billing information<\/li>\n\n\n\n<li>Payment method<\/li>\n\n\n\n<li>Shipping information<\/li>\n\n\n\n<li>ordered products<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">This view may be sufficient for a quick check. If you need to check details or make changes, you open the full order.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Open an order completely<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Click on the desired order in the order overview.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The order page contains several sections with different information. Particularly important are:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>general order data<\/li>\n\n\n\n<li>Billing address<\/li>\n\n\n\n<li>Shipping address<\/li>\n\n\n\n<li>Payment information<\/li>\n\n\n\n<li>ordered products<\/li>\n\n\n\n<li>Shipping<\/li>\n\n\n\n<li>Taxes and Totals<\/li>\n\n\n\n<li>Order notes<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">Which additional information appears also depends on the plugins and payment or shipping solutions used.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Understanding the general order data<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">In the order details section, you will find key information about the order.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">These include, among others:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Order number<\/li>\n\n\n\n<li>Date and time<\/li>\n\n\n\n<li>Order Status<\/li>\n\n\n\n<li>Customer or guest<\/li>\n\n\n\n<li>Payment information<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">When a registered customer places an order, WooCommerce can link the order to their customer account.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">However, with a guest order, a normal user account does not necessarily exist. You can find out more in the article <a href=\"\/en\/help\/cms-online-shops\/woocommerce\/kundenkonten-gastbestellungen\/\">Setting up customer accounts and guest checkout in WooCommerce<\/a>.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Check billing address and shipping address<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">WooCommerce distinguishes between billing and shipping information.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">For example, the invoice data can include:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Name<\/li>\n\n\n\n<li>Companies<\/li>\n\n\n\n<li>Address<\/li>\n\n\n\n<li>Land<\/li>\n\n\n\n<li>Email address<\/li>\n\n\n\n<li>Phone number<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">The delivery address shows where a physical order should be shipped.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Billing and shipping addresses can be identical, but they do not have to be.<\/p>\n\n\n\n<blockquote class=\"wp-block-quote is-layout-flow wp-block-quote-is-layout-flow\">\n<p class=\"wp-block-paragraph\"><strong>Example:<\/strong> A customer uses their private address as the billing address, but has the package delivered to their workplace. The shipping address is then decisive for the dispatch.<\/p>\n<\/blockquote>\n\n\n\n<h2 class=\"wp-block-heading\">Check the ordered products<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">In the order items section, you can see which products the customer has ordered.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Depending on the order, WooCommerce shows there, among other things:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Product<\/li>\n\n\n\n<li>Variant or selected properties<\/li>\n\n\n\n<li>Quantity<\/li>\n\n\n\n<li>Price<\/li>\n\n\n\n<li>Discounts<\/li>\n\n\n\n<li>Taxes<\/li>\n\n\n\n<li>Total amount<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">With a variable product, you should pay special attention to which specific variant was ordered.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">For example:<\/p>\n\n\n\n<pre class=\"wp-block-code\"><code>Classic T-Shirt\n\nColor:\nBlack\n\nSize:\nM\n\nQuantity:\n2\n<\/code><\/pre>\n\n\n\n<p class=\"wp-block-paragraph\">For the delivery, not only the product name is important, but also the actually ordered version.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Understanding the order total<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Below the individual items, WooCommerce displays the order calculation.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Depending on the order, things that may appear there include, for example:<\/p>\n\n\n\n<pre class=\"wp-block-code\"><code>Subtotal products\n- Voucher\/Discount\n+ Shipping\n+ Taxes\n= Total amount\n<\/code><\/pre>\n\n\n\n<p class=\"wp-block-paragraph\">Which positions are available depends on the order and your shop configuration.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">If an order total looks unexpected, you should therefore not only look at the final amount, but check the individual components.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Shipping information in the order<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">For an order with shipping, WooCommerce displays the used shipping method and the corresponding shipping costs in the order items.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">For example:<\/p>\n\n\n\n<pre class=\"wp-block-code\"><code>Shipping:\nFlat rate\n\nCosts:\nCHF 8.50\n<\/code><\/pre>\n\n\n\n<p class=\"wp-block-paragraph\">Which shipping method was available at checkout depends on your shipping zones and shipping rules.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">We cover the interior in detail in the article <a href=\"\/en\/help\/cms-online-shops\/woocommerce\/shipping-zones-shipping-methods-shipping-costs-2\/\">Set up shipping zones, shipping methods, and shipping costs<\/a>.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">WooCommerce is not automatically a shipment tracking<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">The WooCommerce core order contains the order and shipping information. However, complete package tracking with a tracking number, package status, and automatic shipment tracking is not automatically included with every WooCommerce core installation.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Such functions can be added, for example, by a shipping extension, a parcel service, or another integration.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">If you see a tracking field in your order, this may be due to an additionally installed extension.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Check payment method of an order<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">You can see which payment method was used in the order.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Examples can be:<\/p>\n\n\n\n<pre class=\"wp-block-code\"><code>Bank transfer\n\nCredit card\n\nPayPal\n\nother established payment providers\n<\/code><\/pre>\n\n\n\n<p class=\"wp-block-paragraph\">Which payment methods are actually offered depends on your WooCommerce settings and the installed payment extensions.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">We will cover the interior design in the article <a href=\"\/en\/help\/cms-online-shops\/woocommerce\/set-up-payment-methods\/\">Setting up and managing payment methods in WooCommerce<\/a>.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Payment method does not mean payment confirmation<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">If an order states \u201eCredit card\u201c or \u201ePayPal\u201c as the payment method, for example, this initially only means that this method was used for the order.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">You must determine whether the payment was actually successfully completed based on the order status and\u2014depending on the payment provider\u2014the available payment or transaction information.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">For example, a payment service provider can transmit a transaction number or further information to WooCommerce.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Important:<\/strong> Do not rely solely on the name of the payment method. Before shipping a paid order, verify whether the payment process intended for this payment method has actually been successfully completed.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Classify order status correctly<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Every WooCommerce order has a status. This indicates where the order is in the ordering, payment, or processing workflow.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">WooCommerce core statuses include, among others:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Payment pending<\/li>\n\n\n\n<li>In progress<\/li>\n\n\n\n<li>On hold<\/li>\n\n\n\n<li>Completed<\/li>\n\n\n\n<li>Cancelled<\/li>\n\n\n\n<li>Refunded<\/li>\n\n\n\n<li>Failed<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">With modern block-based checkouts, the status can additionally <strong>Draft<\/strong> occur for temporary checkout orders.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Plugins can add their own additional order statuses.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">We explain deliberately and separately in the next article what each status means precisely and when you should use it. <a href=\"\/en\/help\/cms-online-shops\/woocommerce\/order-status-explained\/\">WooCommerce Order Status Simply Explained<\/a>.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">\u201eIn progress\u201c usually means: Now you have to do something<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">For a normal order with physical products, the status means <strong>In progress<\/strong> or rather <strong>Processing<\/strong> basically, that the payment has been received and the order is awaiting further processing.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">For a classic shipping product, this would be, for example:<\/p>\n\n\n\n<pre class=\"wp-block-code\"><code>Payment successful\n\u2193\nOrder \u201eIn Progress\u201c\n\u2193\nAssemble goods\n\u2193\nShip goods\n\u2193\nComplete order\n<\/code><\/pre>\n\n\n\n<p class=\"wp-block-paragraph\">WooCommerce does not automatically set such an order to \u201eCompleted\u201c simply because you actually took the package to the post office.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The actual shipping process takes place outside of WooCommerce, unless an additional shipping solution integrates this process with the store.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Pure virtual and downloadable orders can be treated differently<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Orders containing exclusively products that both <strong>both virtual and downloadable<\/strong> are, can be automatically completed by WooCommerce after successful payment.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">That is logical, because with such orders no physical goods need to be packed and shipped anymore.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">For physical products, on the other hand, processing by the shop is usually still necessary.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">On hold<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">The status <strong>On hold<\/strong> or rather <strong>En espera<\/strong> means that the order is awaiting further confirmation or action.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">This can occur, for example, with a payment method where the payment is not immediately and automatically confirmed.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">A typical example can be a bank transfer.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">You shouldn't just set such an order to \u201eCompleted\u201c without knowing why it is in that status.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">What does \u201ePayment pending\u201c mean?<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">At <strong>Payment pending<\/strong> or rather <strong>Pending payment<\/strong> the order has been received, but payment has not yet been confirmed.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The order normally awaits action from the customer or the completion of the intended payment process.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">For example, with a correspondingly available unpaid order, a customer can make up for the payment via a payment link.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Resend unpaid order for payment<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">WooCommerce enables a payment link for suitable unpaid orders.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">In the order, you can use the order actions to send the order details or invoice to the customer.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The corresponding email may contain a link that allows the customer to pay for the open order.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">For a registered customer, an unpaid order can also be found in the area <strong>My Account \u2192 Orders<\/strong> a payment action be available.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Important:<\/strong> WooCommerce generally accepts only one payment for an order. Therefore, if products that incur a cost are subsequently added to an order that has already been paid for, a second payment for the same order is not automatically provided for.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Understanding order notes<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">The <strong>Order notes<\/strong> belong to the most important areas in order control.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">WooCommerce and installed extensions can log events there.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">This may include, for example:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Status changes<\/li>\n\n\n\n<li>Payment results<\/li>\n\n\n\n<li>Inventory changes<\/li>\n\n\n\n<li>Payment service provider information<\/li>\n\n\n\n<li>manually added notes<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">Therefore, if an order has an unexpected status or a payment is unclear, it is worth taking a look at the order notes.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Private note or message to the customer?<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">For manual order notes, WooCommerce distinguishes between internal notes and notes intended for the customer.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">A <strong>Private note<\/strong> is for internal documentation.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Example:<\/p>\n\n\n\n<pre class=\"wp-block-code\"><code>Customer confirmed a change of delivery address by phone.\n<\/code><\/pre>\n\n\n\n<p class=\"wp-block-paragraph\">A <strong>Customer note<\/strong> can be transmitted to the customer against it.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Example:<\/p>\n\n\n\n<pre class=\"wp-block-code\"><code>Your order is expected to ship on Monday.\n<\/code><\/pre>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Important:<\/strong> Before saving a note, check whether it is to remain internal or be sent to the customer. Internal information does not belong in a customer note.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Change order status manually<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">You can manually change the status of an order in the backend.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">To do this, select the desired status in the open order and save or update the order.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">A status change can trigger further actions. Depending on the status and shop configuration, WooCommerce emails can be sent or other extensions can become active, for example.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Do not change a status just to make the order overview look \u201eneater.\u201c.<\/p>\n\n\n\n<blockquote class=\"wp-block-quote is-layout-flow wp-block-quote-is-layout-flow\">\n<p class=\"wp-block-paragraph\"><strong>Basic rule:<\/strong> The order status should reflect the actual state of the order.<\/p>\n<\/blockquote>\n\n\n\n<h2 class=\"wp-block-heading\">Process multiple orders simultaneously<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Group actions are also available in the order overview.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">With this, you can, for example, set several selected orders to a specific status together.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">This can save time for larger order quantities.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Carefully check in advance which orders are marked. A batch action affects all selected orders.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Process an order<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">WooCommerce allows you to edit various details of an order.
