It merely determines where a reply from the recipient will be sent.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Customize WooCommerce emails<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">In the field of <strong>WooCommerce \u2192 Settings \u2192 Emails<\/strong> you will find additional settings for the design of the WooCommerce email templates.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Depending on the current WooCommerce version, options for the appearance of transactional emails are available there.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">This allows you, for example, to adapt the branding of the messages to your shop without having to program a separate template for each notification.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Which design options are available can change with WooCommerce versions.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Recommendation:<\/strong> First adjust the standard WooCommerce settings. Changes directly to PHP email templates are much more maintenance-intensive and are usually not necessary for a normal shop configuration.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Why WooCommerce emails are not simply sent \u201edirectly\u201c<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Technically, WooCommerce first generates the content of a message and passes it to the WordPress mail function.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">By default, the process runs simply like this:<\/p>\n\n\n\n<pre class=\"wp-block-code\"><code>WooCommerce\n\u2193\nWordPress wp_mail()\n\u2193\nServer mail delivery\n\u2193\nreceiving mail server\n\u2193\nInbox or spam filter\n<\/code><\/pre>\n\n\n\n<p class=\"wp-block-paragraph\">So WooCommerce itself is not a complete mail server.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">This is important for troubleshooting: An email may have been generated correctly in WooCommerce and still be blocked later during delivery.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">WooCommerce logs transactional email attempts<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Current WooCommerce versions log delivery attempts for transactional WooCommerce emails.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">You can find the corresponding protocols at:<\/p>\n\n\n\n<pre class=\"wp-block-code\"><code>WooCommerce\n\u2192 Status\n\u2192 Logs\n<\/code><\/pre>\n\n\n\n<p class=\"wp-block-paragraph\">There you can search for the source:<\/p>\n\n\n\n<pre class=\"wp-block-code\"><code>transactional emails\n<\/code><\/pre>\n\n\n\n<p class=\"wp-block-paragraph\">search or filter.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">These logs can show you whether WooCommerce:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>successfully transferred an email to the mail system,<\/li>\n\n\n\n<li>found an error during shipping,<\/li>\n\n\n\n<li>skipped a message<\/li>\n\n\n\n<li>or has logged no expected shipping attempt at all.<\/li>\n<\/ul>\n\n\n\n<blockquote class=\"wp-block-quote is-layout-flow wp-block-quote-is-layout-flow\">\n<p class=\"wp-block-paragraph\"><strong>This is an important difference:<\/strong> \u201eWooCommerce has passed the message to the mail system does not automatically mean The recipient has received the message.<\/p>\n<\/blockquote>\n\n\n\n<h2 class=\"wp-block-heading\">What does \u201esent\u201c mean in the WooCommerce log?<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">When WooCommerce logs shipping as successful, it initially means that the message was successfully handed over to the downstream mail system.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">After that, other things can happen:<\/p>\n\n\n\n<pre class=\"wp-block-code\"><code>Mail system accepts message\n\u2193\nMessage is forwarded\n\u2193\nReceiving server checks it\n\u2193\nSpam and security filters check it\n\u2193\nMessage is delivered or rejected\n<\/code><\/pre>\n\n\n\n<p class=\"wp-block-paragraph\">Therefore, WooCommerce cannot guarantee solely through its order email settings that the message will land in the customer's inbox.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Why SMTP can be used<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Instead of sending emails via the web server's standard mail function, WordPress can send them via an authenticated SMTP or transactional email service.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The simplified process then looks like this:<\/p>\n\n\n\n<pre class=\"wp-block-code\"><code>WooCommerce\n\u2193\nWordPress\n\u2193\nSMTP \/ Mail Service\n\u2193\nRecipient\n<\/code><\/pre>\n\n\n\n<p class=\"wp-block-paragraph\">Such a service is specifically designed for sending emails and often provides additional information about delivery attempts and delivery status.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">A corresponding WordPress plugin or the integration of the respective mail provider is normally used for the connection.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Important:<\/strong> SMTP is not a WooCommerce setting for the content of an order email. It concerns the technical transport of the message.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">WooCommerce email disabled \u2013 then it won't be sent<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">If a specific notification is not being sent, you should first check whether it is enabled at all.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Open:<\/p>\n\n\n\n<pre class=\"wp-block-code\"><code>WooCommerce\n\u2192 Settings\n\u2192 Emails\n\u2192 relevant notification\n<\/code><\/pre>\n\n\n\n<p class=\"wp-block-paragraph\">If the email is disabled there, WooCommerce cannot send it normally for the corresponding event.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">That sounds obvious, but during troubleshooting it is one of the first things that should be checked.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">The correct order status must be reached<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Even an activated email will only be triggered when the corresponding event actually occurs.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">For example, if you expect a customer to receive the email for a completed order, but the order remains at <strong>In progress<\/strong> stands, the missing final email is initially plausible.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Therefore, always check the actual order status first.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">For problems with payments and status changes, the article helps <a href=\"\/en\/help\/cms-online-shops\/woocommerce\/set-up-payment-methods\/\">Setting up and managing payment methods in WooCommerce<\/a>.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Order confirmation email is not reaching the store owner<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">If, for example, the notification for a new order is missing, you should systematically check:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Is \u201eNew Order\u201c enabled?<\/li>\n\n\n\n<li>Is the correct recipient address entered?<\/li>\n\n\n\n<li>Was a corresponding order actually created?<\/li>\n\n\n\n<li>Is there an entry in the WooCommerce log for transactional emails?<\/li>\n\n\n\n<li>Is the message possibly in the spam folder?<\/li>\n\n\n\n<li>Does the technical email transmission of the website work in principle?<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">If WooCommerce generated and passed the message correctly, further troubleshooting is no longer exclusively within the WooCommerce settings.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Customer is not receiving order email<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">First, check the billing email address saved in the order.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">A single typo is enough to prevent a correctly sent message from reaching the intended customer.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">After that, you should check:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Order Status<\/li>\n\n\n\n<li>activated WooCommerce notification<\/li>\n\n\n\n<li>WooCommerce log<\/li>\n\n\n\n<li>spam or junk folder<\/li>\n\n\n\n<li>mail server or SMTP protocols, if any<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">Especially in the case of an online store, a missing email should not be &quot;tested&quot; by repeatedly changing the order status without first verifying the actual status of the order.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Resend an email from an order<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">WooCommerce provides options in the order actions section to resend certain order emails.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">This may include, for example, resending the order details or the customer invoice.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Which actions are available depends on the order status and the installed extensions.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Before resending:<\/strong> Check the customer's email address first. If it is incorrect, resending it to the same incorrect address won't do any good.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">New order and customer email are not the same<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">The notification <strong>New order<\/strong> is generally directed at the store operator or the recipients you have entered.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">By contrast, the customer receives the customer notification that matches their ordering process.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">If the shop owner does not receive a \u201eNew Order\u201c email, that does not automatically mean the customer hasn't received an email either \u2013 and vice versa.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Plugins can add or modify additional emails<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">WooCommerce is extensible.
