Ideally, a separate, strong password should be used for each one.

This is precisely where it often fails in practice. Passwords are reused, only slightly modified, or stored in insecure locations. If one of these passwords is compromised, multiple accounts can be put at risk as a result.

A Password manager Solves this problem: It securely manages your credentials and allows you to use a strong and unique password for every service without having to remember all of them.

What is a password manager?

A password manager is software for the secure management of access data. Passwords and other login information are stored securely in a digital vault and provided for login when needed.

Depending on the solution, access is granted via a strong master or main password, biometric methods, or additional security mechanisms such as two-factor authentication.

Password managers are available, for example, as:

integrated function of browsers and operating systems,

standalone programs for computers,

Apps for smartphones and tablets,

Browser extensions and cloud services.

Many solutions encrypt and synchronize access credentials between different devices and can automatically fill out login forms.

Why is a password manager useful?

The biggest problem isn't that people can't come up with complicated passwords. The problem is the sheer number of login credentials required.

Anyone who has to remember 50 different passwords inevitably resorts to simplifications. A password is used multiple times, variants of the same password are used, or login credentials are stored insecurely.

This is precisely where the decisive advantage of a password manager lies: You no longer have to remember every single password.

This actually makes it possible to use long, random, and unique passwords for different services.

What are the benefits of a password manager?

A good password manager offers several advantages at the same time:

Unique passwords: A different password can be used for each user account.

Strong passwords: Integrated generators create long and random credentials.

Simpler registration: Access data can be automatically filled into login forms.

Better phishing protection: Password managers recognize the saved domain and usually offer login credentials only on the corresponding website.

Synchronization Depending on the solution, access credentials are available on computers, smartphones, and tablets.

Warnings: Some password managers detect reused, weak or already compromised passwords.

Anyone who needs a new, strong password can also use our free Password generator use.

Why the email password is especially important

The password of one's own email account is particularly critical. Anyone who gains access to an email mailbox can request a password reset for many other services.

The email account should therefore always have a custom, strong password possess and additionally be protected with two-factor authentication.

You can find more information on protecting business email communication at our Email security solutions.

Password managers in the company

For companies, it is not just about storing passwords securely. Access must also be able to be granted in a controlled manner, shared collaboratively, and revoked when employees leave.

Depending on the product, team and business password managers therefore offer additional features such as:

shared vaults,

User and group management,

role-based access rights,

Logging of security-relevant events,

core company policies,

secure sharing of access credentials.

This is especially useful for hosting, domain, WordPress, or administrative access. Passwords should not be shared among employees via email, chat, or Excel files.

Is it safe to store all passwords in one place?

This question is valid. A password manager bundles many sensitive access credentials in a central location and is therefore itself an attractive target for attacks.

Nevertheless, with a reliable and correctly implemented solution, the advantages generally outweigh the disadvantages. Instead of weak or reused passwords, unique access credentials can be used for all accounts.

Some basic rules are important here:

Use an established password manager.

Protect the password manager with a strong and unique master password.

Enable two-factor authentication where available.

Install security updates promptly.

Secure the devices on which the password manager is used as well.

Browser password manager or standalone software?

Modern browsers and operating systems now feature their own password managers. For many private users, these integrated solutions are a simple and sensible way to manage passwords securely.

Stand-alone password managers often offer additional features and can be particularly interesting when different operating systems and browsers are used, or when access credentials need to be shared in a controlled manner within a company or a family.

Which variant is better suited therefore depends on the personal area of application.

Which password managers are there?

The market offers numerous established solutions. Well-known examples include:

Bitwarden

1Password

Dashlane

NordPass

KeePass

built-in password managers from Apple, Google, and Microsoft

Instead of relying solely on a vendor's name, you should pay attention to the security concept, update policy, supported devices, recovery options, and the required team features.

And what about passkeys?

Passkeys are increasingly becoming an alternative to the traditional password. This involves using a cryptographic key pair for login. Users authenticate themselves, for example, via device lock, fingerprint, or facial recognition.

Where passkeys are offered, they are an interesting and particularly phishing-resistant alternative. However, this does not immediately make password managers obsolete: many now manage both traditional passwords and passkeys.

Conclusion: Password managers make secure passwords suitable for everyday use

A password manager solves one of the biggest practical problems of digital security: no one wants to remember dozens of complex passwords.

With a password manager, you can use a different password for every account. strong and unique password use without losing track. In combination with two-factor authentication and – where available – passkeys, this creates significantly more robust protection for personal and business user accounts.

Especially for companies, it is worth not leaving the management of important access credentials to chance, but rather implementing clear rules and a centralized solution.

We explain the potential consequences of stolen access credentials in the article „Billions of compromised passwords in circulation – what now?“

A password manager securely stores strong and unique passwords in one place.
