Manage automatic replies (out-of-office notices) professionally

Whether for vacation, holidays, or a short absence: With the Autoresponder in cPanel, you automatically inform your contacts that you are currently unavailable. As soon as an email reaches you, the system immediately sends back the reply you have saved.

Security Note: To prevent your mailbox from being overloaded by spam replies, autoresponders automatically ignore all messages classified by the spam filter with a score of 5 or higher.

Step 1: Access the Autoresponder menu

Log in to your cPanel and click on Autoresponders in the Email section.

Step 2: Configure the reply

Click on "Add Autoresponder". Fill in the fields as follows:

  • Interval (hours): Specify how long the system should wait before replying to the same email address again. Recommendation: 24 hours (prevents "mail ping-pong").
  • Email: The address for which the notice should apply.
  • From / Subject: Your name and a clear subject (e.g., "Out of office: [Your Name]").
  • Body (Message): Your actual text.

Pro Tip: Use Placeholders

You can make your reply more personal by using variables:

  • %subject% – Inserts the subject of the original mail.
  • %from% – Inserts the name of the sender (if available).
  • %email% – Inserts the email address of the sender.

Scheduling (Start & End)

You don't have to switch the autoresponder on and off manually. Use the "Custom" option for Start and End to define, for example, your exact vacation period. The system will then activate and deactivate the message precisely on time.

Setup via Webmail: You can also set up autoresponders directly in Webmail without access to the main cPanel account. To do this, click on your email address in the top right corner of Webmail and select "Autoresponders."
