Process and manually create order

Not every WooCommerce order is created directly by a customer in the checkout. You can also create orders manually in the WordPress backend, for example when you take an order by phone, email, or through another channel.

Furthermore, certain details of an existing order can be changed subsequently. However, it is important to know that, what changes WooCommerce still allows and when an order is already processed too far.

Important: You should not retroactively modify an already paid order like an open shopping cart. WooCommerce generally only allows changes to order items for orders with the status „Pending payment“ or „On hold“.

Which details of an order can be edited? #

In an open WooCommerce order, you will find various sections that can be edited—depending on the current status of the order.

This includes, for example:

  • Order Status
  • Order date
  • assigned customer
  • Billing address
  • Shipping address
  • Email address and phone number
  • Payment method or corresponding details
  • Products and quantities
  • Shipping items
  • Fees
  • Vouchers
  • Taxes
  • Order notes

Not all of these changes are possible in every order status.

Change address data of an order #

Invoice and delivery data can be edited directly within the open purchase order.

This may be necessary, for example, if a customer reports a typo in their address after placing an order.

WooCommerce provides an editing function for this in the billing and shipping information.

Depending on the order, you can change, among other things:

  • First and last name
  • Company name
  • Street and house number
  • Postal code
  • Place
  • Country or region
  • Email address
  • Phone number

For the delivery address, you can also adopt existing billing data or load customer data from the assigned customer account.

Important: If the goods have already been shipped, a subsequent address change in WooCommerce naturally does not automatically change the address of a package that has already been dispatched with the shipping service provider.

Assign to another customer #

An order can be assigned to a registered customer account or processed as a guest order.

In the order details, you can change the customer assignment and select an existing customer.

This can be useful, for example, when an order is created manually for an already registered customer.

If the order is assigned to a customer account, it can subsequently be viewed in their area My Account → Orders appear.

When can products of an order be edited? #

WooCommerce only allows changes to actual order items for orders that have not yet been finally processed.

For existing orders, the following generally applies:

Payment pending
or
On hold

→ Order items can be edited

For an order with In progress or at a later status, these positions are generally no longer normally editable.

This includes, among other things:

  • Products
  • Mengen
  • Product prices
  • Shipping
  • Fees
  • Vouchers
  • Taxes

Why? Once an order has been paid or further processed, the order value, payment, and order content must match. WooCommerce therefore prevents a paid order from being arbitrarily modified afterwards.

Add a product to an open order #

Is the order still in status Payment pending or On hold, you can add additional products.

Open the order for this and go to the order items section.

About Add article or rather, using the corresponding function, you can search for existing WooCommerce products and add them to the order.

For products with active inventory management, WooCommerce also displays information about the available stock.

Even products or variants that are, for example, out of stock or on backorder can be selectable in a deliberately manually agreed order.

Practical example: A customer orders three items by phone. You can add these products directly from your existing WooCommerce inventory into a new manual order instead of entering prices and product names completely by hand.

Change the quantity of a product #

For an editable order, you can also adjust the quantity of an existing order item.

For example:

Previous:
2 × Coffee cup

New:
3 × Coffee cup

After such a change, you should recalculate the order totals or save the order correctly.

Then check whether the product price, taxes, and total amount match the expected values.

Edit prices and taxes of an order item #

WooCommerce also allows changes to price and tax values of individual items in editable orders.

This is a more advanced feature and should only be used if you know exactly why the amount should be changed.

If you change products, shipping, or other items, WooCommerce can recalculate taxes based on your store settings and the customer address.

Important: A recalculation can overwrite manually entered tax values. Therefore, always check the result before forwarding the order to the customer.

Add or change shipping for an order #

For an order that can still be edited, you can also add a shipping item.

This allows, for example, defining the description, shipping method, costs, and taxes.

This is particularly important for manually created orders because they do not automatically go through the same checkout process as a regular customer order.

Add a fee #

WooCommerce allows you to add an additional fee to an editable order.

An example could be an individually agreed additional service.

Depending on the configuration, you can use a fixed or percentage fee.

You should only apply fees if they actually fit your business model and the specific order.

Apply coupon to an order #

You can apply an existing WooCommerce coupon code to an unpaid order.

This can be useful, for example, if a customer is entitled to an existing voucher during a telephone order or forgot to enter a valid code at checkout.

WooCommerce uses the rules of the existing coupon.

So you have to know and apply the corresponding coupon code.

Recalculate order totals #

If you have changed products, coupons, shipping, or other items, you can have WooCommerce recalculate the corresponding totals.

In particular, the stored tax rules and the customer address are taken into account.

This is helpful when you are putting together a manual order from multiple components.

Always check the result anyway.

An automatically calculated value is only correct if the underlying shop, tax, product, and address data are also set up correctly.

What happens to the inventory? #

When products are added to an order or quantities are changed, you should keep an eye on the inventory level.

WooCommerce displays the current stock level for stock-managed products and accounts for inventory changes according to the subsequent order process.

For manually compiled orders, you should therefore check whether the correct quantity is present and how the selected order status affects the inventory.

Add additional products to an already paid order #

Here is an important WooCommerce rule:

A WooCommerce order basically only accepts one payment.

If an order has already been paid for and the customer subsequently wants to order additional paid products, you should therefore not simply add them to the existing order.

In this case, WooCommerce recommends a New order to create for the additional products.

Afterwards, you can send the customer a payment link for this new order.

Example: A customer has already paid for an order of CHF 80 and calls afterwards because they want an additional product for CHF 25. Instead of modifying the paid order to CHF 105, you create a new order of CHF 25 for the additional item.

Create an order manually #

WooCommerce allows you to create a complete order directly in the WordPress backend.

This is useful, for example, in the case of:

  • telephone orders
  • Orders by email
  • individually agreed orders
  • internal test orders
  • other orders that do not go through normal checkout

To do this, open:

WooCommerce
→ Orders

and choose Add order.

WooCommerce then opens a new order page that basically contains the same sections as an existing order.

Select customer or guest #

During a manual order, you first decide whether the order should be assigned to an existing customer account or processed as a guest order.

If the customer already has an account and the order should be visible there later, you can select the corresponding customer.

If the customer does not have an account or if the order should be able to be paid without registration, you can create a guest order.

Important regarding the payment link: An order associated with a registered customer account must normally be paid by that logged-in customer. In the case of a guest order, payment can be made without a customer account.

Enter billing and shipping data #

Then enter the required customer data.

Depending on the order, this includes, for example:

  • Name
  • Companies
  • Billing address
  • Shipping address
  • Email address
  • Phone number

If you already have a customer account, you can use the stored billing or delivery details.

Check the address anyway, especially if the order was taken by phone or email.

Add products to manual order #

In the order items section, you can search for existing products or variants using the add product function.

Select the desired product and the required quantity.

With a variable product, you need to make sure to select the variant you actually want.

For example:

Classic T-Shirt
Color: Black
Size: M
Quantity: 2

Also check the stock level if WooCommerce manages it for the product.

Add shipping, vouchers and fees #

If necessary, you can then add further items to the manual order.

These can be, for example:

  • Shipping costs
  • Vouchers
  • Fees
  • Taxes

Which positions you need depends on the specific order.

For example, an order for pickup might not require standard shipping costs.

Check grand total #

Before saving the order or sending it to the customer for payment, check the entire calculation.

Check in particular:

  • correct products and variants
  • correct quantities
  • Product prices
  • Vouchers or discounts
  • Shipping costs
  • Taxes
  • Total amount

A manually created order should be just as traceable in the end as an order placed by the customer themselves via checkout.

What order status should a new manual order receive? #

If the customer still has to pay for the order, the status is Payment pending the appropriate starting point.

This makes it clearly recognizable that no payment has been made yet.

Do not proactively set a manually created order to In progress, if the payment has not even been received yet.

Save manual order #

If the customer, products, prices, and other details are correct, you save the order.

The order thereby receives an order number and subsequently appears in the normal WooCommerce order overview.

If it still needs to be paid, you can send the customer a payment link afterwards.

Send payment link to the customer #

WooCommerce can send an email with order details and a link to the payment page for an open order.

To do this, open the corresponding order.

Der Kunde erhält eine E-Mail mit einem Link, über den er die Bestellung bezahlen kann.

Example: Du nimmst eine telefonische Bestellung auf, erstellst sie im WooCommerce-Backend mit dem Status „Zahlung ausstehend“ und sendest dem Kunden anschliessend den Zahlungslink. Der Kunde öffnet diesen Link und bezahlt die bereits vorbereitete Bestellung.

Wie funktioniert der Zahlungslink bei einem Kundenkonto? #

Ist die Bestellung einem registrierten Kundenkonto zugeordnet, muss der entsprechende Kunde beim Bezahlen normalerweise in dieses Konto eingeloggt sein.

Das schützt die Bestelldaten davor, von anderen Personen aufgerufen zu werden.

Wenn du den Zahlungslink als Administrator testest und dabei die Meldung erhältst, dass die Bestellung nicht bezahlt werden könne, muss deshalb nicht zwingend ein technischer Fehler vorliegen.

Du bist als Administrator nicht der Kunde, dem die Bestellung zugeordnet ist.

Zum Testen musst du dich als entsprechender Kunde anmelden oder für einen geeigneten Test eine Gastbestellung verwenden.

Wie funktioniert der Zahlungslink bei einer Gastbestellung? #

Eine Gastbestellung ist keinem registrierten Kundenkonto zugeordnet.

Der Kunde kann deshalb grundsätzlich ohne Anmeldung zur Zahlungsseite gelangen.

WooCommerce kann zur Sicherheit eine Verifizierung verlangen.

Wenn eine solche Prüfung erscheint, muss der Kunde die E-Mail-Adresse angeben, die in den Rechnungsdaten der Bestellung hinterlegt ist.

Danach kann er mit der Zahlung fortfahren.

Zahlungsmethode nicht mit bezahlter Bestellung verwechseln #

Auch bei einer manuell erstellten Bestellung gilt:

Zahlungsmethode ausgewählt
≠
Zahlung eingegangen

Wenn du beispielsweise eine Zahlungsmethode in den Bestelldaten einträgst, macht das die Bestellung nicht automatisch bezahlt.

Die tatsächliche Zahlung muss über den vorgesehenen Zahlungsweg erfolgen beziehungsweise bei einer manuellen Zahlungsart von dir geprüft werden.

Eine manuelle Bestellung als bezahlt behandeln #

Wenn die Zahlung ausserhalb des automatischen WooCommerce-Zahlungsprozesses erfolgt ist, musst du den tatsächlichen Vorgang korrekt in deinem Arbeitsablauf berücksichtigen.

Ein Beispiel kann eine bereits eingegangene Bankzahlung sein.

Ändere den Status erst dann entsprechend, wenn die Zahlung tatsächlich geprüft wurde.

Important: Eine manuelle Statusänderung zieht kein Geld beim Kunden ein. Der Bestellstatus dokumentiert den Zustand der Bestellung – er ersetzt nicht den tatsächlichen Zahlungsvorgang.

Bestellnotizen bei manuellen Bestellungen nutzen #

Gerade bei telefonisch oder individuell aufgenommenen Bestellungen können interne Bestellnotizen hilfreich sein.

For example:

Telefonische Bestellung vom 31.08.
Liefertermin mit Kunde besprochen.

Eine solche private Notiz ist nur für Administratoren beziehungsweise Shop-Mitarbeiter sichtbar.

Wenn du dem Kunden dagegen eine Mitteilung senden möchtest, kannst du eine Kundennotiz verwenden.

WooCommerce sendet eine solche öffentliche Kundennotiz per E-Mail und zeigt sie auch in den Bestelldetails des Kundenkontos an.

Important: Achte darauf, ob du eine private Notiz oder eine Nachricht an den Kunden erstellst. Interne Bemerkungen gehören nicht in eine Kundennotiz.

Eine Kundennotiz lässt sich nicht per Löschen zurückholen #

Wenn eine Kundennotiz bereits versendet wurde, hilft es nicht, sie anschliessend aus der Bestellung zu löschen.

Das Löschen entfernt lediglich die Notiz aus dem Bestelldatensatz. Die bereits versendete E-Mail kann dadurch nicht zurückgerufen werden.

Lies eine Kundennotiz deshalb vor dem Absenden nochmals durch.

Wann ist eine neue Bestellung besser als eine Änderung? #

Eine neue Bestellung ist insbesondere dann die sauberere Lösung, wenn:

  • die ursprüngliche Bestellung bereits bezahlt wurde,
  • zusätzliche kostenpflichtige Produkte hinzukommen sollen,
  • eine separate neue Zahlung erforderlich ist,
  • die Änderung eigentlich einen neuen Geschäftsvorgang darstellt.

So bleiben ursprüngliche Zahlung, Bestellwert und Bestellinhalt nachvollziehbar.

Bestellung nach Änderungen kontrollieren #

Nach jeder relevanten Änderung solltest du die Bestellung nochmals vollständig prüfen.

Pay special attention to:

  • Customer or guest
  • Billing address
  • Shipping address
  • Produkte und Varianten
  • Mengen
  • Prices
  • Taxes
  • Shipping
  • Gutscheine und Gebühren
  • Total amount
  • Order Status

Wenn die Bestellung noch bezahlt werden muss, solltest du ausserdem kontrollieren, ob die beim Kunden hinterlegte E-Mail-Adresse stimmt. Sonst erreicht ihn der Zahlungslink möglicherweise nicht.

Änderungen nachvollziehbar halten #

Bei manuellen Änderungen ist es sinnvoll, wichtige Absprachen in den privaten Bestellnotizen festzuhalten.

Dadurch kannst du später nachvollziehen, warum beispielsweise eine Adresse, ein Produkt oder ein Betrag geändert wurde.

Das ist besonders hilfreich, wenn mehrere Personen Bestellungen bearbeiten.

Bei einer Bestellung kann es auch vorkommen, dass sie nicht mehr ausgeführt werden soll oder ein bereits bezahlter Betrag ganz oder teilweise zurückgegeben werden muss.

Summary #

WooCommerce ermöglicht es dir, Bestelldaten im Backend zu bearbeiten und komplette Bestellungen manuell anzulegen.

Produkte, Mengen, Gutscheine, Gebühren, Versand und ähnliche Bestellpositionen lassen sich bei bestehenden Bestellungen grundsätzlich nur bearbeiten, solange die Bestellung den Status Payment pending or On hold besitzt.

Ist eine Bestellung bereits bezahlt und der Kunde möchte zusätzliche kostenpflichtige Produkte kaufen, solltest du dafür eine neue Bestellung erstellen. WooCommerce akzeptiert grundsätzlich nur eine Zahlung pro Bestellung.

Manuell erstellte Bestellungen eignen sich beispielsweise für telefonische oder per E-Mail angenommene Aufträge. Wenn der Kunde noch bezahlen muss, kannst du die Bestellung auf Payment pending setzen und ihm über WooCommerce einen Zahlungslink senden.

Kontrolliere nach manuellen Änderungen immer Produkte, Mengen, Adressen, Versand, Steuern, Gesamtsumme und Bestellstatus. Wichtige Absprachen kannst du zusätzlich über private Bestellnotizen dokumentieren.
