With the classic Kopage Website Builder, you can manage files and offer documents for download on your website.

This is practical, for example, for PDF documents, price lists, forms, programs, manuals, club documents, or other files that visitors should download.

In this guide, we will explain how file management basically works, what you should keep in mind when uploading and replacing files, and how to provide downloads clearly and reliably on your website.

Briefly explained: An uploaded file and a visible download on your website are two different things. The Files Manager manages files. In order for visitors to be able to download a file, it must also be linked or embedded as a download in a suitable location on your website.

What can I use downloads for? #

Downloads are suitable for content that visitors should open, save, or reuse as a separate file.

Typical examples are:

PDF brochures
Price lists
Manuals
Forms
Event programs
Club documents
Product information
Technical documentation

However, not every piece of content should automatically be offered as a file. Information that visitors are supposed to read directly on your website is often better suited as normal page content.

Website content or download? #

Before uploading a file, you should consider whether a download is even the best solution for this content.

Brief information such as opening hours, a telephone number, or a simple service description usually belongs directly on the website.

A multi-page document, a printable form, or an extensive brochure, on the other hand, can sensibly be offered as a download.

Filename with year or version number? #

Whether a version number in the file name makes sense depends on how you use the document.

In the case of a price list, of which only the current version is to be offered at any one time, a permanently constant name such as:

Important: Choose a deliberate versioning strategy. Otherwise, you'll quickly accumulate files like preisliste-neu.pdf, preisliste-neu2.pdf and preisliste-final.pdf where later no one knows for sure which version is current.

Do not accidentally continue offering old files #

When a new version of a document is published, you should check whether the old version is still linked anywhere on your website.

After the update, open the corresponding pages and test the visible download links.

Delete file – Be careful with existing links #

Was tun, wenn ein Download nicht funktioniert? #

Was tun, wenn die falsche Datei geöffnet wird? #

Was tun, wenn weiterhin eine alte PDF-Version erscheint? #

Wenn du eine Datei ersetzt hast und trotzdem die vorherige Version siehst, kontrolliere zunächst, ob tatsächlich die richtige Datei hochgeladen beziehungsweise verlinkt wurde.
