SpamExperts can send you regular overviews of filtered emails. Previously, the function mainly used for this was Protection Reports used.
Protection Reports are still available in SpamExperts, but are now considered legacy function. N-able recommends the more modern ones for new configurations Email Scout Reports (ESR).
CURIAWEB recommendation: If you want to set up a new spam report today, use an Email Scout Report if possible. Existing Protection Reports may continue to work, but should no longer be the preferred solution for new setups.
What are protection reports? #
Protection Reports were designed to regularly inform users about messages that SpamExperts has detected as spam and moved to quarantine.
Depending on the report type, such overviews could be sent, for example, for an entire domain or individual mailboxes.
A typical use case:
SpamExperts filters incoming emails
↓
Spam is quarantined
↓
Protection Report
↓
User receives overview via email
This meant that the spam quarantine did not have to be opened manually all the time.
Why are protection reports no longer the preferred solution today? #
N-able now labels Protection Reports as Legacy and announces their future replacement.
For new reports, the manufacturer recommends instead Email Scout Reports.
Email Scout Reports are more flexible because they are based on search criteria from the SpamExperts logs and can be scheduled and configured much more precisely.
Important: If you already have a Protection Report set up and working reliably, you do not need to change it prematurely. However, for new setups, an Email Scout Report is the more future-proof choice.
What are email scout reports? #
Email Scout Reports, short ESR, are scheduled or one-off sent reports based on a SpamExperts log search.
You can use this to define which messages should appear in a report.
Simplified:
Log Search
↓
Define search criteria
↓
Determine matching messages
↓
Create Email Scout Report
↓
Deliver report by email
As a result, Email Scout Reports are not solely limited to a simple quarantine overview.
Comparison of Protection Report and Email Scout Report #
| Function | Protection Report | Email Scout Report |
|---|---|---|
| Status | Legacy | Currently recommended solution |
| Basis | Predominantly quarantined messages | Configurable log search criteria |
| Individual scheduling | Restricted | Significantly more flexible |
| One-time report | Possible depending on the protection report type | Possible |
| Recurring reports | Possible | Possible |
| Recommendation for new interior design | No | Yes |
When is an email scout report useful? #
An email scout report is suitable, for example, if you want to regularly receive an overview of filtered or quarantined messages.
This can be particularly helpful for business-critical mailboxes because users do not constantly have to check the SpamExperts Control Panel themselves.
However, a report does not replace a log search when a specific email needs to be investigated.
For detailed troubleshooting, we continue to use the SpamExperts Log Search.
1. Open SpamExperts Control Panel #
Open SpamExperts via your CURIAWEB customer center.
Then check that you have opened the correct domain or the appropriate administrative level.
We declare the registration under Login to the SpamExperts Dashboard via the CURIAWEB Customer Center.
2. Create a basis for an Email Scout Report #
A custom email scout report is based on a search in the email log.
To do this, depending on the desired message traffic, open:
Incoming → Logs
or:
Outgoing → Logs
Then define via the available search filters which messages should be included in the report.
Practical Tip: First, consider what information you actually need on a regular basis. A report with too many irrelevant messages is quickly ignored.
3. Check search results #
First execute the log search and check the results.
The Email Scout Report will use these search criteria later. Therefore, you should make sure that the current search actually delivers the desired messages.
Only after that should you create a report from it.
4. Create email scout report #
If the log search yields the desired results, you can create an email scout report from it.
SpamExperts provides the function for this in the log search Email me this report available.
This opens the report configuration.
5. Set subject #
Define a unique subject line for the report email.
The subject line should indicate which domain or report it is about.
A schematic example:
SpamExperts Report – example.ch
6. Select shipping time #
Depending on the configuration, Email Scout Reports can be sent once or on a schedule.
For a one-time report, for example, options are available to:
- send immediately
- to send at a specific time
For recurring reports, additional repeating schedules can be configured.
This makes it possible to schedule Email Scout Reports much more precisely than the old Protection Reports.
7. Set sender address #
SpamExperts requires a valid sender address for the report email.
As the sender, a technically valid address should be used, such as a designated no-reply address or a valid mailbox of the domain in question.
A possible scheme would be:
no-reply@example.ch
Do not use a fabricated sender that does not technically match your configuration.
8. Set report recipient #
Enter the email address to which the Email Scout Report should be sent.
Check the address carefully. The report may contain information about filtered emails and should therefore only be sent to intended recipients.
9. Select report template #
Email Scout Reports use a template to display the report.
Depending on the SpamExperts configuration, different templates may be available.
For normal use, a custom template is generally not required.
10. PDF Attachment #
Depending on the platform and configuration, SpamExperts can additionally provide a PDF version of an Email Scout Report.
Whether this makes sense for your report depends on how the report will be used later.
For a normal daily check, the email display is often sufficient.
Treat incoming and outgoing reports separately #
SpamExperts distinguishes between incoming and outgoing email traffic in Email Scout Reports.
Reports for incoming and outgoing are set up separately.
| Report | Use |
|---|---|
| ESR – Incoming | Incoming message reports |
| ESR – Outgoing | Reports on messages sent via SpamExperts |
If you use only Incoming Filtering, you normally do not need an Outgoing Email Scout Report.
Manage existing Email Scout Reports #
You can find already configured reports in the SpamExperts Control Panel under:
Reporting → ESR – Incoming
or rather
Reporting → ESR – Outgoing
Depending on the report type, various actions may be available there, for example:
- Edit report
- Enable or disable report
- Send report immediately
- perform related search
- Remove report
- Export configuration
Automatic Email Scout Reports #
SpamExperts also supports automatic email scout reports.
These can be used to regularly generate reports for users or mailboxes.
Depending on the configuration, automated reports can be sent multiple times a day.
For a new setup, the current ESR configuration should be used instead of the old protection report function.
What does an email scout report contain? #
An email scout report contains a list of messages that meet the previously defined search criteria.
Depending on the configuration, additional actions may be available from the report or the corresponding message view.
This may include, for example:
- Block sender
- Approve message
- Allow sender
- Delete message
- release and train
Which actions are actually offered depends on the SpamExperts configuration and permissions.
Important: Do not execute an action from a report based solely on the subject line or sender name. In particular, before releasing or allowlisting a message, verify whether it is actually legitimate.
Email Scout Report and Spam Quarantine #
A report makes it easier to keep track of filtered messages, but it does not replace the actual spam quarantine.
Quarantine can still be relevant if a message needs to be examined more closely or released.
We explain how to use it at Using Spam Quarantine in SpamExperts.
Email Scout Report and Filter Training #
Depending on the configured actions, a message can also be released directly from an Email Scout Report and used for filter training.
This should only happen in the event of an actual misclassification.
A single legitimate message in a report is no reason to change the general filter settings.
We explain how spam and ham training works at Train SpamExperts Filter: Report spam and ham correctly.
Do not use the Sender Allow List hastily #
Even if a report offers a feature to allow a sender, not every legitimate message should automatically result in an allow-list entry.
An exception makes sense primarily in the case of recurring and comprehensible misclassifications.
You can find more about this at Sender Allow List: Allow senders in SpamExperts.
What are the old protection report types? #
If you are already using an older SpamExperts configuration, various Protection Reports may still be visible.
These include in particular:
| Legacy report | Function |
|---|---|
| Protection Report – Send now | One-time report for a selected period |
| Protection Report – Domain | Regular report for a domain |
| Protection Report – Mailbox | Report for individual mailbox users |
SpamExperts unterstützt dabei beispielsweise HTML beziehungsweise PDF.
Warum kommt kein automatischer Report an? #
Catch-all kann automatische Reports beeinflussen #
Not necessarily.
Reports ersetzen keine Diagnose #
Unsere Empfehlungen zu den Filterwerten findest du unter SpamExperts Filter Settings: Why the Default Configuration is Usually the Best Choice.
- Suchergebnis kontrollieren.
- Aus der Suche einen Email Scout Report erstellen.
- Empfänger und Zeitplan festlegen.
- Report testweise senden.
