With the automatic answering service In cPanel, you can automatically reply to incoming emails. This is suitable, for example, for out-of-office messages during holidays, company closures, or for a temporary notice when messages will only be processed later.
In this guide, we will show you step by step how to set up an automatic reply in CURIAWEB, define a start and end time, and then test the function.
Briefly explained: An autoresponder automatically replies to incoming messages with a text you define. The original email is not answered or processed as a result – the sender merely receives your automated message in addition.
When is an automatic reply useful? #
A typical use case is a vacation or out-of-office notification.
If, for example, no one checks the mailbox during your vacation info@deine-domain.ch processed, you can automatically inform senders when a reply can be expected again.
An automatic response can also be useful during company holidays, public holidays, or temporary limited availability.
1. Open Autoresponders in cPanel #
Log in to your CURIAWEB cPanel.
Scroll on the cPanel home page to the section Email and click on Automated answering service.
On this page, you can manage existing automated replies and add new auto-responders.
2. Add new automatic reply #
Click the button to Adding an automatic answering service.
cPanel will then open the form for the new autoresponder.
Here you define the email address the reply should apply to, the text the sender will receive, and the time period during which the autoresponder should be active.
3. Check character set #
In the field for the character set, there is usually already UTF-8 or rather UTF-8 Registered.
UTF-8 supports umlauts, special characters, and numerous international characters, making it the appropriate setting for standard German-language emails.
Unless there is a special technical reason, you should keep the default UTF-8 character set.
4. Set interval #
With the Interval you determine how long cPanel waits before the same sender receives another automated reply.
This is important so that a sender does not immediately receive the exact same out-of-office message with every single message.
If a person sends multiple messages within the specified interval, the automatic reply will be limited accordingly.
Practical Tip: Choose the interval so that senders are meaningfully informed without flooding them with repeated automated replies.
5. Select e-mail address #
Enter in the field Email Enter the local part of the address for which the autoresponder is to be set up.
For:
info@deine-domain.ch
do you enter, for example:
Info
If there are multiple domains in your hosting account, you then select the correct domain.
Attention: Check the domain carefully. An autoresponder for
info@deine-domain.chdoesn't automatically apply to eitherinfo@zweite-domain.ch.
6. Set sender name #
In the field From can you specify which sender name should be displayed in the automatic reply.
For a company, this could be, for example:
Muster AG Company
or more personal:
John Doe
Use a name that allows the recipient to immediately recognize who the automated message is from.
Enter subject of automatic reply #
Then set a meaningful subject line.
For an out-of-office message, this could be, for example:
Out of office notice
or:
Thank you for your message
The subject line should briefly indicate that this is an automated response.
8. Compose message #
In the message field, you write the text that the sender should receive automatically.
A simple out-of-office message could contain the following information, for example:
- that you are currently unreachable
- until when the absence lasts
- when messages can be edited again
- if applicable, an alternative contact option for urgent cases
Keep the message as clear and concise as possible.
Example of an out-of-office message #
A possible phrasing would be:
Thank you for your message. I am out of the office until September 15th inclusive and will process emails upon my return. In urgent cases, please contact our team at the known contact address.
Of course, you should adapt the text to your actual situation.
Do not publish unnecessary personal information #
An automatic reply is generally sent to senders whose messages trigger the autoresponder. You should therefore carefully consider what information it contains.
It is usually not necessary to share where you are during your absence or to mention other private details.
Privacy Tip: Better write „I am not available until September 15th“ than sharing in detail when and where you are on vacation.
9. Use HTML messages only when necessary #
Depending on the interface, cPanel may offer the option to set the autoresponder as HTML to ship.
This allows, for example, formatting or links to be embedded in the message.
For a simple out-of-office notification, HTML is usually not required. A plain text message is robust and easily readable on practically all email systems.
Therefore, only activate HTML if you are actually using HTML content.
10. Set start time #
Now you determine when the automatic answering service should be active.
Depending on the cPanel interface, you can activate the reply immediately or set a custom start time.
If your absence does not start until a few days from now, you can prepare the autoresponder accordingly and enter the desired start time.
11. Set end time #
Especially for vacations or a temporary absence, you should define an end time.
This prevents the automatic reply from continuing to be sent by mistake after your return.
Practical Tip: If you already know when your absence will end, enter the end time directly when creating it. Then you won't have to remember to manually disable the autoresponder later.
12. Check settings #
Before you save the automatic reply, check again:
- the correct email address
- the correct domain
- the desired interval
- Sender name and subject
- the message text
- Start time
- End time
Pay special attention to dates in the message text. A typo in the return date can cause unnecessary confusion for customers or business partners.
13. Create automatic reply #
If all the information is correct, you save the autoresponder using the corresponding button.
Subsequently, the new automatic reply should appear in the overview of the automatic reply service.
Check there whether the correct email address and the desired time period are displayed.
14. Test autoresponder with an external address #
After setting it up, be sure to test the automatic reply.
To do this, send a message from another email address to the mailbox for which you set up the autoresponder.
For example, if the autoresponder for:
info@deine-domain.ch
was set up, send a test message from an independent external address there.
Then check whether the automatic reply is received by the sender and displayed correctly.
Important: Do not just check whether any response arrives. Also check the subject line, body text, dates, special characters, and any contact information that may be included.
Why is there no further automatic response during the second test? #
If you send a second message from the same sender address immediately after the first test and do not receive another automated reply, this may be due to the set interval.
cPanel deliberately limits how often the same sender receives the automatic reply.
For another independent test, you can use a different sender address if necessary or take the configured interval into account.
What happens to the original email? #
The automatic answering service does not replace the normal delivery of the original message.
If the email account in question and the rest of the mail configuration are set up correctly, the incoming message will continue to be processed accordingly. In addition, the automatic reply will be generated.
The autoresponder is therefore no substitute for an email account, a forwarding address, or an email filter rule.
Combine autoresponder and email forwarding #
Depending on the configuration, additional email functions such as forwarding may be available for the same address.
When you combine different mechanisms with each other, you should test the actual message flow.

Understanding automatic response loops #
Automated email systems must be particularly careful with each other.
For example, it would be problematic if two systems automatically replied to every incoming message and each respective automatic reply in turn triggered a new automatic reply.
Modern mail and autoresponder systems have mechanisms to limit such loops. Nevertheless, you should not chain automatic responses together with unnecessary complexity.
Attention: Do not use autoresponders as a substitute for extensive automated email workflows. For newsletters, marketing automation, or complex support processes, dedicated systems are the better solution.
Autoresponder for an address without a mailbox #
Whether and how an autoresponder for an address without its own mailbox makes sense depends on the rest of the email configuration.
If the address needs to receive and store messages permanently, a regular email account is the clearer solution.

Autoresponder is not working #
If no automatic response arrives, check the configuration first.
Check in particular whether the correct email address and domain have been selected and whether the autoresponder should be active at the current time.
Also check the spam folder of the test address.
If the original email itself is not processed correctly at the destination, you should first investigate the underlying delivery issue.

Automatic reply ends up in spam #
The fact that an autoresponder has been correctly set up in cPanel does not guarantee that every external mail provider will place the automated message in the inbox.
The receiving mail server evaluates the message according to its own rules and can consider sender authentication, reputation, content, and other signals, among other things.

Edit automatic reply #
If you want to change the text, time period, or other settings, open again:
Email -> Autoresponder
Find the relevant autoresponder in the overview and open the editing function.
Make the desired changes and then save them.
In the event of significant changes, you should send another test message.
Disable automatic reply early #
If you are back earlier or if the automatic reply is no longer needed for any other reason, you should not leave it running unnecessarily.
Open the automated reply service and remove or edit the respective autoresponder accordingly.
Then use a test message to check that no outdated out-of-office notification is sent anymore.
Check autoresponder upon return #
Even if you have set an automatic end time, a quick check is worth it after a longer absence.
Open the overview of the automatic reply services and check whether no outdated rule is active anymore.
This prevents customers, for example, from receiving an out-of-office message weeks later with a return date that has long since passed.
Practical Tip: Include control of autoresponders in your return routine: check emails, check the automatic reply, and remove it if necessary.
An autoresponder is not an acknowledgment of receipt #
An automated reply is often understood as confirmation that a message has been received. However, it is not automatically proof that a human has read, processed, or reviewed the content of the message.
If you use an autoresponder for business, the text should therefore not make any promises that the system itself cannot fulfill.
Instead of „Your request has been reviewed“, a phrasing such as „Thank you for your message“ is more technically and substantively clear, for example.
Autoresponder is not a newsletter system #
The automatic response service reacts to incoming messages. It is not intended to independently send newsletters or serial e-mails to recipient lists.
For such purposes, you should use a dedicated newsletter or email marketing system.
Typical errors in automated replies #
Common problems include an incorrectly selected domain, a faulty start or end date, and outdated information in the message text.
An interval that is too short can also result in a sender receiving the same automated message unnecessarily often.
Another mistake is forgetting to remove an out-of-office message that does not automatically expire after returning.
Basic rule: Always test autoresponders with an external address and, in the case of temporary absences, set an end date when setting them up if possible.

An automatic reply neither replaces an email inbox, nor a forwarding setup, nor a complete email workflow. Its purpose is to automatically inform senders about your absence or another clearly defined situation.
